Information Logging

The Housatonic and ProjectPlan365.com websites logs your IP address to help us diagnose any problems with our server, and to better administer our web site. We will never share this information with others. All personal information gathered by us is used solely by us, and not shared with third parties.

Data Collection

When you use the Project Plan 365 application, we may collect, record or generate diagnostic and usage data. This data consists of:

  • Error reports.
  • Application usage data (like clicks, features usage, application uptime, application resource usage).
  • Device information (like device model, operating system, language settings).

Data collection is optional. You can opt-in / opt-out for data collection at any time by navigating to Options dialog (File → Options) and check / uncheck your options. Once you confirm your changes, they will have effect after you restart the application.

Data Uses

We use the data collected to provide you with rich and smooth experience. In particular, we use data to:

  • Troubleshoot problems.
  • Constantly improve and develop our products.
  • Analyze performance.
  • Analyze retention and features usage.

We do not share your diagnostic and usage data.

If you contact us via an e-mail,  we will reply by e-mail to the address you give us. We may, from time to time, offer the opportunity to subscribe to newsletter or other services. Project Plan 365 Privacy Policy for Google Drive

This Privacy Policy outlines how Project Plan 365 handles data when you use our application that integrates with Google Drive. By using our application, you agree to the terms and conditions outlined in this Privacy Policy.

The projectplan365.com website and the native applications offer Google Drive integration in order to allow users to read and write project files to their Google Drive storage. After the OAuth sign-in process is successfully performed, the list of user files and folders is retrieved and displayed in a file-picker to allow opening and saving project files. To help distinguish between multiple accounts, ProjectPlan365.com also reads and displays the name of the current Google user.

projectplan365.com requires minimal permissions in exchange for a seamless user experience: the “drive” scope grants the application reading and writing rights (if necessary) to the user files and the “drive.install” scope is used to let users approve of the app’s installation.

Data Collection Disclosures

When you use the app, we may collect and store an access token provided by Google upon authorization. This access token is required for the app to securely access and interact with your Google Drive account.

The native app does not transmit the access token to our server.

Data Protection Disclosures

We take the security of your data seriously. The access token collected by the app is securely stored and transmitted using industry-standard encryption protocols.

While we implement measures to protect your data, it’s important to note that the access token is governed by Google’s own security protocols and privacy policies. We encourage you to review Google’s privacy policy for more information on how they handle data.

Data Retention and/or Deletion Disclosures

We retain the access token collected by the app for as long as necessary to provide you with the services and functionality of Project Plan 365.

You can revoke the access token and cease the app’s access to your Google Drive account at any time through Google’s account settings. This will prevent further collection and use of the access token by the app.

Data Use Disclosures

The access token collected by the app is used solely to enable the app’s functionality, specifically to securely access and interact with your Google Drive account.

We do not share the access token collected by the app with any third parties, except as required by law or as necessary to provide you with the services of the app.

Project Plan 365 Plugin for ChatGPT

This section explains how Project Plan 365 handles information when you connect to or use the Project Plan 365 Plugin for ChatGPT (the “Plugin”).

OpenAI operates ChatGPT, while Project Plan 365 operates the Plugin. This section covers information that Project Plan 365 receives from ChatGPT and sends back to ChatGPT. OpenAI handles information in ChatGPT under the terms and privacy notice that apply to your ChatGPT account.

What the Plugin does

The Plugin lets you use ChatGPT to work with project plans in the .mpp file format. Depending on your request, it can:
- Open and review an .mpp file you provide.
- Summarize project dates, progress, tasks, resources, costs, milestones, critical paths, and dependencies.
- Create a new project plan.
- Show a proposed change before applying it.
- Apply a change after you approve it.
- Provide a temporary link for downloading a project.
- Provide a link for opening a project in Project Plan 365 Web.

We do not receive your complete ChatGPT conversation history. We receive only the information that ChatGPT sends when it uses the Plugin to carry out your request.

Information we handle

Account information. When you connect your Project Plan 365 account through ChatGPT, we may receive your email address, Project Plan 365 account identifier, and information confirming that the connection is authorized and valid. We use sign-in information to confirm that requests are authorized.

Files and project information. When you ask the Plugin to open an `.mpp` file, we receive the file and basic file information, such as its name, type, and temporary file identifier. We may use a temporary link supplied by ChatGPT to retrieve the file. An `.mpp` file may contain project, phase, task, and milestone names; employee, contractor, or other resource names; assignments; calendars; dates; durations; dependencies; costs; progress; status; notes; and other information placed in the file by you or your organization. When you create or change a project, we also receive the project details and instructions needed to carry out your request. You decide which files and project information to provide.

Information supplied by ChatGPT. ChatGPT may provide limited information that helps us operate and protect the Plugin, such as identifiers assigned by OpenAI for the user, conversation, session, or organization; language and time-zone settings; approximate region; and information about the app or browser making the request. These identifiers do not give us access to your full ChatGPT account or complete conversation history.

Information about Plugin use. We may keep basic records such as the date and time of a request, the Plugin feature used, whether the request succeeded, how long it took, error details, and temporary user, session, organization, account, or project identifiers. We may associate these records with your account email when needed for authentication, security, or support.

Information returned to ChatGPT. The Plugin sends information back to ChatGPT so that ChatGPT can answer your request. This may include the project summaries or details you requested, proposed or completed changes, error messages, a temporary project identifier, a temporary download link, or a link for opening the project in Project Plan 365 Web.

How we use the information

We use information handled through the Plugin to: - Provide the project-planning features you request. - Connect and protect your account. - Keep a project available between related requests during your active session. - Show proposed project changes and apply them after your approval. - Create temporary download and online-view links. - Prevent fraud, misuse, and security threats. - Diagnose problems and maintain the Plugin. - Respond to support and privacy requests. - Improve reliability using combined or de-identified service statistics.

Who receives the information

We disclose information only as needed to provide, protect, and support the Plugin:
- OpenAI: ChatGPT sends requests and files to the Plugin and receives the results. OpenAI handles that information under the terms and privacy notice that apply to your ChatGPT account.
- Project Plan 365 services: Our services process your account connection and Plugin requests. If you choose to open a project in Project Plan 365 Web, that service receives the project so it can display or edit it. Merely creating an online-view link does not open the project; the transfer occurs when you or ChatGPT use that feature.
- Service providers: Companies that provide hosting, storage, account sign-in, security, monitoring, and customer-support services may process information for us. They may use it only to provide those services and must protect it under their agreements with us.

How long we keep the information

- Open projects: Uploaded and newly created projects are held temporarily in server memory. A working project is automatically removed after 60 minutes without activity. The Plugin does not alter or delete the original file held by you or ChatGPT.
- Download links: Temporary project download links expire after 30 minutes. Anyone with an unexpired link may be able to download the file, so do not publish or forward these links.
- Usage reports: The usage records described above are retained for up to 90 days and are then deleted. These reports help us protect, troubleshoot, and improve the Plugin.

Your choices and controls

You control whether to connect and use the Plugin and which files or project information to provide. You may also:
- Review a proposed project change before approving it.
- Decline a proposed change.
- Disconnect the Plugin through ChatGPT.
- Stop using an open project and allow its temporary working copy to expire automatically.
- Contact us for help disconnecting your Project Plan 365 account from the Plugin.
- Ask to access, correct, delete, or receive a copy of personal information we hold about you, where applicable.

Disconnecting the Plugin stops future access through that connection but does not automatically delete information already held by OpenAI. Manage information held by OpenAI through your ChatGPT account or by contacting OpenAI.

Information you should not provide

The Plugin is intended for ordinary project-planning information. Do not use it to provide payment-card information, medical information, government identification numbers, passwords, authentication codes, API keys, or precise location information. Before uploading a project, make sure you have permission to share the personal or confidential information it contains.

We use reasonable safeguards designed to protect Plugin information, including secure connections, account controls, temporary project storage, and time-limited links
