Lesson 9: Add Task Notes

During the scheduling an​d execution phases of a project, it is commonly to add some specific information about a task, in the form of a text associated to that task. Examples may include things to be taken into account or remembered regarding a specific task, some comments about it, observations associated to a task once a progress was recorded for a task, etc.

The Task Notes option can be found in the Task menu and is available in the following views: Gantt Chart, Tracking Gantt, Task Usage and Resource Usage. If a task is selected, this option displays the notes attached to it. Alternatively you can see the notes that a task has, if you double-click on a task and go to the Notes tab from the opened Task Information dialog.

 

 

In the Indicators column, there will be displayed a graphical indicator    for the tasks that have associated a note.

You can print the notes associated to the tasks by checking Print Notes option in the Page Setup. The notes will be printed at the end of the document.

 

  Practice

   1. Using the commercial construction project plan, let's specify some tasks' notes. For the task with ID = 4 ("Prepare, review and submit project schedule") let's add a note. Select this task, then from Task menu press on Task Notes option and add the following note associated with this task: "task completed; some feedback may be useful".

 

      Once you’ve pressed OK button, notice the special icon that appears for this task in the Indicators column. If you hover over it, the displayed tooltip will show you the note that you’ve just entered:

 
 

          2. You can also attach notes to recurring tasks. Select the recurring task with ID = 25 (Team meeting and discussion with partners) and press on Task Notes option available in the Task menu. In the Notes tab, add the following note: "check progress and discuss about next steps":


 

          You may need to resize the Indicators column to create more space for its content to be displayed. Your project plan will look like:
