Using AI to Prepare Project Data for Microsoft Project
AI can help turn an approved brief, meeting notes, or requirements list into a draft task register. Before importing it into Microsoft Project, organize the output into fields Project can map and verify the source information, because Project may recalculate schedule values after import.
Prepare a structured task list
Section titled “Prepare a structured task list”Ask the AI tool for a table with one row per task and only the fields you need, such as task name, outline level, duration estimate, predecessor reference, resource, and notes. Keep estimates and dependencies clearly marked as proposals unless a project owner has confirmed them. Do not let generated IDs stand in for final Project task IDs without checking the mapping.
An assistant such as Project Plan 365’s Erix AI can generate a project draft from a description; its Create Project with Erix AI page describes that product-specific route. For a Microsoft Project import, the table still needs to be checked and mapped to the intended fields.
Import and inspect the mapped fields
Section titled “Import and inspect the mapped fields”Project desktop can import task, resource, and assignment data from Excel, CSV, tab-delimited text, or validated XML. In the import wizard, select or define a map, match source columns to Project fields, and review the preview before completing the import. A calculated field can be recalculated by Project, so a source value does not always become the same value in the resulting schedule.1
Before import, check for duplicate or missing tasks, inconsistent dates and duration units, predecessor references that do not exist, resource names that fail to match, and blank values in required fields. Including outline levels and predecessor references in the AI-generated table does not by itself guarantee that Project will create the intended task hierarchy and dependency links. Verify those field mappings, then confirm the resulting outline and links after import; review the schedule and correct any mapping or calculation result that differs from the approved brief.
Protect the source information
Section titled “Protect the source information”Use only material that is appropriate for the AI service and account you are using. Privacy and data-handling terms vary among AI providers and organizational configurations; do not assume that protections described for one service apply to a different assistant. Keep the approved project brief and imported file as the source of truth.
