Project Views, Tables, Filters, and Groups
A Microsoft Project view is a way to display project information for a particular task, resource, or assignment purpose. Tables, filters, and groups shape what appears in that view: a table chooses fields, a filter limits which records appear, and a group organizes records into categories.
How the display tools differ
Section titled “How the display tools differ”| Tool | What it controls | Example |
|---|---|---|
| View | The information perspective and display format | Gantt Chart for tasks and schedule bars; Network Diagram for task relationships |
| Table | The fields shown in the sheet portion of a view | A selected set of fields |
| Filter | Which tasks, resources, or assignments are shown | Records matching a chosen condition |
| Group | How records are categorized, with possible summary rollups | Categories based on one or more criteria |
These tools change how you see and organize project information; they do not create a separate copy of the plan. A filtered-out task is hidden from that view, not removed from the project. A group can summarize related rows, but it is not the same as an outline or a task dependency.1
Filter or group the information
Section titled “Filter or group the information”Project offers predefined filters, custom filters, and AutoFilters on sheet-column headings. Task filters are for task views, while resource filters apply to resource views. Applying a filter displays matching records and hides the others; using Highlight emphasizes matching records while leaving the others visible.
To organize tasks or resources by a field, select the view and use View > Data > Group By. You can group on one or more criteria; in sheet views, groups can also display rolled-up values.2, 3
Choose a view for the question
Section titled “Choose a view for the question”Use the Gantt Chart view when you need task rows beside a timescale, the Network Diagram view when task relationships are the focus, and the Timeline view for a concise selection of key tasks and milestones. The right table, filter, or group can then make the relevant details easier to find without changing the schedule itself.
Project Plan 365 also lets you tailor project displays with its own views, tables, filters, and groups. Its distinctive Calendar View offers an easy-to-use interface for scheduling and tracking tasks by date; Enterprise Team Planner View shows team assignments across projects saved in Drive 365, alongside the current project.
