How can I access the “My Tasks” functionality?

To access the My Tasks functionality, in the app go to menu File – Home – My Tasks button or in our Online Portal go to the Tasks menu.

Note: On iPad, go to menu File - Info/Status - My Tasks.

Why are tasks not displayed in the "All Assignments" view?

If the "All Assignments" view shows no tasks, it indicates that your team members are not assigned to any tasks within the project files stored in the Drive365 cloud location. To have tasks displayed in this view, you need project files saved in Drive365 cloud that include tasks assigned to your team members.

You are allowed to create Scheduled Reports with both Standard and Business subscriptions. Please note that with the Standard subscription you are allowed to create only one Scheduled Report and with the Business Subscription you are allowed to create unlimited Scheduled Reports.

Note: With a Standard Subscription you are only allowed to select predefined Global Reports, the Enterprise Reports are available only with a Business Subscription.

How to download a project created with ChatGPT in MPP format?

To download a project plan created by ChatGPT in MPP format, Follow the steps below:

  1. Install "Project Plan 365 Assistant" extension to your browser (Chrome/Edge) from Chrome Web Store or Microsoft Edge Add-ons;
  2. Go to Chat GPT page: https://chat.openai.com/;
  3. Ask Chat GPT to create a project on the desired subject, for example: “Create a kitchen renovation project.”;
  4. If the project is not in table format, you first have to ask ChatGPT to format the text by clicking on Download as MS Project Plan (MPP) button;
  5. In the pop-up message that appears, click on Format Textbutton;
  6. When Chat GPT finishes generating the project in table format, click again on Download as MS Project Plan (MPP) button;
  7. The created project will be downloaded on the local device and can then be opened in the local Project Plan 365 application.

Note: You can ask ChatGPT to make changes in the project like: add/remove columns, set project start/finish dates, assign resources etc., or you can apply the changes in the Project Plan 365 Application and save the project to any storage location.

How to change the duration of the project?

It is not possible to change the duration of the entire project. The project duration is calculated by Project Plan 365 sum of the durations of all its subtasks. In order to see the total project duration, please insert the Project Summary Task by going to menu File - Options and in Advanced tab check the Show project summary option.
Why am I receiving a Project Status Report?

You can add the following predefined Visual Reports in a Scheduled Report:
  • Project Status - displays the overall status of the project, including the percentage complete, duration, and cost.
  • Upcoming Tasks - displays tasks that are scheduled to start in the next week or two.
  • Critical Tasks - displays tasks that are critical to the project's success.
  • Late Tasks - displays tasks that are overdue.
  • Task Cost Overview - displays the total cost of tasks in the project, broken down by resource and task
  • Milestone - displays project milestones and their associated tasks.
  • Resource Overview - displays resource assignments and their workloads.
  • Burndown Report - displays the progress of tasks over time
  • S-Curve Report - displays the progress of costs or work over time
  • Project Goals - displays the project goals and objectives
What Visual Reports can I add in a Scheduled Report?

The predefined Visual Reports are available to be added in the Scheduled Reports by default. You can also add any custom Visual Report created inside the application that are copied in the Global Settings. At the moment, we do not support archiving files in the My Projects - Drive 365 cloud. Please save your project to the local device by going to menu File - Save - Save As - Computer.
Why am I not allowed to modify the Actual Start and Actual Finish fields?

To edit the Actual Start and Actual FInish fields, go to menu Format - Insert Column - select Actual Start/FInish - click OK. Type in the desired value in the Actual Start or Actual Finish field.

As a workaround, after you created your plan, you can also set a baseline in order to see a difference between Planned Start Date and Actual Start Date. In this way, the Scheduled Start date is in fact the Baseline Date.

After this, if your task actually starts on other date you can change the Start Date for that task. This will be the Actual Date. So, the Actual Date is in fact is the Start Date and the Scheduled Date is the Baseline Date you set in the application when you initially created your plan.
